How do I reschedule a lesson?

We understand that schedules change and unexpected events occur which may conflict with your italki lesson. The basic rule is to:

Let your teacher know that you cannot make a lesson and want to reschedule as early as possible!

Once you have agreement from your teacher, 90% of your rescheduling problems are complete.

Below are our rescheduling rules:

1. More than 24-hours until your lesson begins, you can automatically reschedule through the italki system. All you have to do is go to your schedule and select "Change Time/Date".

Please be aware even if you sent a request before 24 hours - Once the timer reaches 24 hours and below, the request will automatically be cancelled!


2.  Less than 24-hours until your lesson begins, the lesson is locked and you must wait for the lesson to pass.  During this period, you must communicate with your teacher as early as possible in Lesson Messages to ask for their approval for rescheduling.  After the lesson passes, you can then proceed with rescheduling.

3.  Your lesson has passed and you want to reschedule.  You must plead your case with the teacher and ask for their approval.  If the teacher agrees, then you can reschedule. Please note that if you wish to reschedule again, you must wait until the new lesson time passes before you can choose a new time.

1. More than 24-hours until your lesson begins and you want to reschedule

If there are more than 24-hours until a lesson begins, you still can automatically reschedule your lesson using the italki Lesson Scheduler as long as your teacher agrees to your proposed reschedule.  Just click on the [Change date/time] button.

The italki Lesson Scheduler will pop up.  Pick a new time on the scheduler, enter your password and click submit.  If your teacher agrees to the new time, then your new proposed time is automatically set.

Please be aware that when rescheduling, if you reschedule into a timeslot that is already occupied (Perhaps you schedule for 5pm on Friday, April 15th, but your teacher already has a lesson with another student at that time) an error will popup and you will be unable to reschedule.

2. Less than 24-hours until your lesson begins and you want to reschedule

Within 24-hours of the upcoming lesson appointment your lesson is locked and cannot be automatically rescheduled.  The student cannot reschedule a lesson using the italki Lesson Scheduler.

italki does this to be fair to the teacher. If you abruptly cancel a class less than 24 hours from a confirmed lesson, this is lost revenue for the teacher and may be time taken from another student who wanted to book a lesson.

Emergency Rescheduling within 24-hours of Booked Lesson

We understand that oftentimes emergencies happen and scheduling conflicts occur that are beyond your control.  If you absolutely need to reschedule within 24-hours of the booked lesson, you must communicate with your teacher as early as possible in Lesson Messages to ask for their approval for rescheduling. The earlier you let your teacher know, the more likely they will be willing to approve a reschedule. 

Please understand that a Teacher has the right to refuse a reschedule proposal within 24-hours of a booked lesson. The teacher also has the right to claim the italki Credits.

When you have agreement from the teacher to reschedule in session messages, wait for the lesson to pass and take the following steps:

 

1. Click on "There was a Problem"

2. Select the reason there was a problem.  This will either be "The Student did not attend the lesson", "The Teacher did not attend the lesson" or "Other"

3. For "How do you want to resolve this?“ select "Reschedule the lesson"

You will then need to enter your password to re-confirm that you wish to reschedule.  Then the lesson scheduler will appear and you can select the time that you wish to reschedule to. 

As you've already received approval from the teacher for the reschedule, the teacher will accept your reschedule request.

3. Your lesson has passed and you want to reschedule

If your lesson has passed, you still have the option to reschedule. However, without contacting the teacher ahead of time (as explained in Option #2 above) to let them know you will be missing this lesson, the teacher has the right to not accept your request for a reschedule and claim the italki Credits.

If you miss class without giving any advanced warning to a teacher, Teachers deserve the respect of being paid for their time. 

Each teacher handles missed lessons differently and has different policies. Some teachers will not accept reschedules if you do not contact them ahead of time to let them know you are missing class. Other teachers may be more lenient and give you another chance. At this point, the option to reschedule is entirely up to the teacher. Thus it is important to communicate with the teacher very clearly via Lesson Messages.

If your lesson has already passed and you did not let your teacher know ahead of time you would be missing class, you need to take the following steps:

1. Click on "There was a Problem"

2. Select the reason there was a problem.  This will either be  "The Student did not attend the lesson", "The Teacher did not attend the lesson" or "Other".

 

3. For "How do you want to resolve this?“ select "Reschedule the lesson"

You will then need to enter your password to re-confirm that you wish to reschedule.  Then the Lesson Scheduler will appear and you can select the time that you wish to reschedule to. Please note that if you wish to reschedule again, you must wait until the new lesson time passes before you can choose a new time.
